You Have Your Austrian Student Permit Approved? Here's What to Do Next.
Your student residence permit has been approved? Congratulations, the hardest part is behind you! There's one thing that surprises almost every international student at this stage: the permit doesn't arrive in the post. You have to collect the physical card in person, and before you can do that, there are two things you need to take care of as soon as you arrive in Austria.
This post walks you through both of these two steps. Think of it as your arrival week guide. If you're still waiting for your application to be approved you can still get prepared for these last steps with this post or if you still need to apply checkout our complete guide to the Austrian student residence permit.
Step 1: Register your address within 3 days of arriving in Austria
The clock starts the moment you move into your accommodation. Austrian law requires everyone living in Austria to register their address at the local registration office within three working days of arriving. This office is called the Municipal District Office or " Meldeamt" in German.
What you need to bring:
Your passport
Your rental contract or accommodation agreement
The completed Meldezettel form — a simple one-page form that you fill in and your landlord signs. If you're living in a student hall of residence (Studentenheim), it usually comes pre-signed in your welcome pack
Registration is free and takes about ten minutes. In Vienna, you can book an appointment at your district's registration center (Meldeservicestelle), or walk in on weekday mornings without an appointment. Outside Vienna, registration is handled at your local municipal office (Gemeindeamt) or district authority.
What is the Meldezettl?
Once you've registered at the Residence Registration Service Centre (Meldeamt), you receive a document called the Meldezettel. It's your official proof that you are registered at an address in Austria.
It's a small piece of paper, but it is the key that unlocks nearly every administrative process you'll go through as a student:
Collecting your residence permit card at MA35
Opening an Austrian bank account
Signing up for ÖGK student health insurance
Getting an Austrian SIM card
Any future correspondence
One important note: if you move to a new address at any point during your studies, you need to deregister your old address and register the new one.
Step 2: Book your MA35 appointment to collect your permit card
Once you have your Meldezettel and have officially enrolled at your university, you're ready for the next step: collecting your actual residence permit card.
What is MA35? If you're studying in Vienna, the MA35 (Magistratsabteilung 35) is the city's immigration authority. It's the office responsible for processing student residence permit applications and issuing the physical permit cards. Your application was processed here (or at the Austrian embassy before you arrived) and is where you need to go to pick your card up in person when you are notified that it is ready.
What to bring to your MA35 appointment
When you go to collect your permit, bring these three things:
Your Meldezettel — proof of address registration (Step 1 above)
Your university enrollment confirmation (current enrollment certificate or Zulassungsbescheid)
Proof of health insurance — your ÖGK confirmation if you've already signed up, or your private travel insurance documentation if you haven't switched yet
Your permit card is credit card-sized, includes your photo, and serves as your official ID in Austria. Carry it with you at all times once you have it.
If you're studying outside Vienna
If you're based in Graz, Salzburg, Linz, Innsbruck, or another Austrian city, the process is exactly the same but your immigration authority is the local BH (Bezirkshauptmannschaft) rather than MA35. Processing times outside Vienna tend to be faster (six to eight weeks is typical), and appointments are generally easier to get.
If the MA35 appointment feels daunting
For many students, this is the first time they have to navigate an official Austrian process entirely in person — with a potential language barrier, unfamiliar bureaucratic expectations, and their legal status on the line.
mypaperwork's Book a Buddy service pairs you with a local expert who comes with you to the appointment. They know what to expect in the room, what to bring, and how to handle anything that comes up — so you're not navigating it alone.
